Business challenge
Every chemical came with a safety data sheet of ten to twenty pages, and someone had to turn it into an SAP hazardous substance record: hazard classes, pictograms, hazard and precautionary statements, physical data, storage class, water hazard class. The work was slow, error-prone and easy to postpone, so the master data lagged behind the reality on the shelf.
Solution
The SDS is uploaded or collected from the supplier. An AI service reads it section by section: identification and composition, GHS classification and signal word, hazard and precautionary statements, physical and chemical properties, storage and handling, transport information. Each finding is mapped to the corresponding field of the SAP hazardous substance master, checked against the allowed values and existing records, and shown to the EHS officer beside the source paragraph. On approval the record is created in SAP, the SDS is attached as the reference document, and the material is linked to it. A revised SDS is compared with the current record, so only the changes need review.
Architecture
- Safety data sheetSupplier PDF, sixteen sections
- AI readingClassification, statements, properties, storage
- MappingSDS sections to hazardous substance fields
- EHS reviewFindings beside the source text
- SAPHazardous substance master with the SDS attached
Results
- A complete hazardous substance record from the document, not from retyping
- Classifications and statements come from the SDS text itself
- A new SDS revision shows exactly what changed
- The SDS is stored with the record it created
